Being released

The money rails described here are built and tested, and are being rolled out. Until a rail is switched on for the exchange, invoices are paid by bank transfer or mobile money and recorded by Finance, as today.

Roles: Desk and Finance for vehicles, road money and cards; Desk or Warehouse for dispatch and arrival. Everything here is on the Fleet page.

Vehicles

Register vehicle: plate, type (truck, trailer, van), capacity, operator, driver and driver's phone, with the country code. The gate pass code is sent to that phone at dispatch. A vehicle is Available, In transit, or In maintenance.

Trips

A trip starts when an order is dispatched or a lot is moved. Each trip shows its gate pass, a log of checkpoints, dwell at borders, any tracking device, road money, the driver's card, border clearance and cash at borders.

• Send / Send again the gate pass by SMS or WhatsApp.
• Record border event: the post, reached or cleared, who recorded it.
• Mark arrived when the truck arrives. Or have the code confirmed at the warehouse gate, which also releases escrow set to release on arrival.

Road money

On a trip, Advance funds opens Road money for TRP-…:

• Hand over funds: what it is for (fuel, spares, puncture, tolls, other), the amount, and how it was given, or send it to the driver's phone by M-Pesa or Airtel after two approvals;
• Load the card: load the driver's card;
• Card spend: record what was spent on a card.

When the trip is done, an advance is Recovered or Written off (Finance). Freight invoices net off what was advanced.

Driver cards

Fleet → Driver cards: apply for a driver's virtual card, KYC, issue, load, freeze. See Driver virtual cards.

A card a driver already has from another issuer can be recorded with Register card (the last four digits and the limit only).

Tracking devices

Register device: the vehicle, the provider and the device's id. Its access token is shown once, for the device provider to configure. A device sends positions, door openings and geofence events to the exchange while its vehicle is on a trip.
